In this article, you will learn how to create an email signature in Outlook, have it added automatically, and insert it manually. The steps differ between the new Outlook and classic Outlook.
An Outlook signature can include, among other things, text, contact details, links, a company logo, and other images.
Creating a signature in the new Outlook
These steps also apply to Outlook on the web.
- Open Outlook.
- Click on Settings in the top right corner.
- Go to Accounts > Signatures.
- Do you use multiple email accounts in Outlook? Then first select the account for which you want to set the signature.
- Click on Add signature.
- Give the signature a clear name.
- Create your signature in the editing window. You can, among other things:
- add text;
- adjust font and font size;
- add links;
- insert an image or logo;
- align and format text.
- At the bottom, specify whether Outlook should use this signature automatically:
- for new messages;
- for replies and forwarded messages.
- Click Save.
Manually inserting a signature
You do not have to add a signature automatically to every message. You can also select it manually per email.
- Create a new email message.
- Open the Message tab at the top.
- In the Insert group, choose Signature.
- Select the desired signature.
You can, for example, use a detailed signature for new external emails and a shorter version for replies or internal communication.
Modifying an existing signature
- Open Settings.
- Go to Accounts > Signatures.
- Choose the signature you want to edit.
- Adjust the text, links, images, or formatting.
- Click Save.
Adding a logo or image
You can add a company logo or other image directly to your signature.
- Open Settings > Accounts > Signatures.
- Open the desired signature.
- Place the cursor where you want to insert the image.
- Choose the option to insert an image.
- Select the desired image file.
- Check whether the logo or image is displayed correctly.
- Click Save.
Classic Outlook for Windows
Are you still using classic Outlook? Then the configuration works differently.
- Open a new email message.
- At the top, choose: Message > Signature > Signatures.
- Under Select the signature you want to edit, click New.
- Give the signature a name.
- Create the signature under Edit signature.
- Choose the email account for which the signature applies under Email account.
- Set which signature should be added automatically for New messages.
- Set whether a signature should also be used automatically for Replies/forwarded messages.
- Click OK.

Signature does not appear automatically?
Check:
- whether you have set the signature for the correct email account;
- whether a signature is selected for new messages;
- whether a signature is selected for replies and forwarded messages;
- whether you need to restart Outlook after a change;
- whether your organisation uses centrally managed signatures.
