1 Starting a Call (outgoing call)
- Go to “Calls” in Teams
- Search for a contact OR enter a phone number
- Click the phone icon to call
Shortcut:
From a chat: simply click the call icon at the top right

2 Receiving a Call (incoming call)
A popup appears when there is an incoming call
You can:
- Answer (audio or video)
- Decline (usually goes to voicemail)

3 Basic Functions During a Call
During a call, you have via the buttons (or “…” menu) among others:
- Mute / unmute
- Put on hold
- Add person
- Transfer
- Share screen These are typically in the call toolbar

4 Call Transfer (very important in practice)
During a call:
- Click on the three dots (…)
- Select Transfer
- Select colleague or number
- Click on Transfer
Variants:
- Direct transfer → transfer immediately
- Consult first → speak to colleague first
You can also transfer directly to voicemail.

5 Setting Up Call Forwarding (structural)
Via: Profile → Settings → Calls
You can among others:
- Always forward to colleague/number
- Ring simultaneously
- Ring yourself first → then forward
- Automatically send to voicemail

6 Colleagues’ Status (presence)
Teams shows availability in real time.
Most used statuses:
- 🟢 Available
- 🔴 Busy / in call / meeting
- 🟡 Away
- ⛔ Do not disturb
- ⚪ Offline
The status changes automatically based on activity, meetings and calls.
